Who counts as a user?+
Nobody. Both plans have unlimited users. The analyst who enters one number a month comes in at no cost, and nobody is left without access for lack of a license.
Do I need to integrate the ERP to use it?+
No. Actuals can be entered on screen or imported from a spreadsheet. Pulling the number from the ERP every day is Orbit Automation, for any ERP.
I already have Power BI. What is Orbit for?+
Keep using Power BI. Orbit does what comes after the dashboard: each KPI has an owner with a deadline to enter the number and attach the evidence; whoever has not entered it goes on the meeting agenda; whatever turned red becomes an action with an owner and a due date. The number already in Power BI or in a spreadsheet comes in by import at month close, and Power BI reads Orbit’s data through the read API.
Can I do this with Power BI, Forms and Power Automate?+
You can build the form. The hard part is keeping it running without depending on whoever built it: the month that closes and does not reopen, approval with evidence, the meeting agenda with what turned red and who has not entered, the action with owner and deadline, and the bonus calculation. In Orbit it comes ready, and whoever enters numbers needs no extra license.
How does the spreadsheet we already have come in?+
Download the .xlsx template inside the product, fill in one row per KPI, with area (branch, unit or contract), owner, the target for each month and the actuals for closed months, and import it. The year matrix is ready the same day. Each row comes in with its named owner, who starts entering their own number; whoever consolidated the spreadsheet only checks.
Who sets it up, and how much work is it?+
One person imports the target spreadsheet and invites the owners. From then on each owner signs in once a month, types their KPI’s number, attaches the screenshot or PDF and submits; the manager approves on the same screen, and the meeting agenda lists who has not entered yet. With the alert on, whoever is late gets an email three days before close. The administrator types nobody’s number: after the import, they only invite who joins and remove who leaves.
Does it work for profit sharing and bonuses?+
It works for the calculation. The floor, target, cap, weight per target and gate rule is set up once; every calculated number has evidence and approval; the simulator shows each person how much they have already secured. The agreement with the union stays yours.
We use OKRs. Do they fit?+
Yes. The objective goes into strategic planning and each key result becomes a KPI with an owner and a monthly, quarterly or yearly target. Tracking is monthly, not weekly.
How do I justify the price to finance?+
Add up the hours per month of whoever consolidates the target spreadsheet and chases numbers by email, the days quality spends gathering evidence before each audit, and the cost of a decision taken on a wrong number. An example, with the assumption in plain sight: two days a month of a controller costing R$ 15,000 with payroll taxes come to about R$ 1,400; five managers costing R$ 12,000 each, five hours each chasing and answering numbers, another R$ 1,800. That is over R$ 3,000 a month; the Company plan costs R$ 1,990. For the shareholder: every number gets who entered it, evidence and who approved it, and a closed month does not reopen. Per person: with 60 employees, R$ 33 a month; with 120, R$ 16.58; with 300, R$ 6.63. Group costs R$ 4,990 for up to five companies: R$ 998 per company with five, R$ 1,663 with three.
Can the data leave Orbit?+
Yes. The KPI list, with target, actual and attainment, exports to .xlsx at any time, including before you end the contract. The read API delivers KPIs, targets, actuals, actions and meetings as JSON, with a key per company, in the format Power BI reads. When you cancel, you take everything: the list in .xlsx from the screen and the attached evidence, which BI Smart delivers. Within 30 days of closing, your company’s data is deleted, except what the law requires us to keep. If the evidence lives in your company’s repository (the ERP’s document store or your own bucket), it never left.
How do the 30 free days work?+
You create the account on the trial page, get the email to set your password and sign in with the complete product. No credit card, no meeting, and no charge if you do not continue. The trial creates one company; to try the Group plan with more than one, ask through the contact form.
Can I cancel whenever I want?+
Yes. The plan is monthly with no lock-in: you cancel whenever you want and take your data in .xlsx. The standard contract is sent for reading before signature; contracting is done with BI Smart, not through the site. Want to read the contract before the trial? Ask through the contact form.
Can I buy the product on its own?+
Yes. Implementation, ERP connection and dashboards are optional services, contracted when they make sense.
What costs extra?+
Orbit Automation, a separate product that brings actuals from the ERP on its own (the ERP link is included), and the services: dashboards in Smart Dash and guided implementation. All of Orbit Performance, every feature and every user, is in the plan price.
A group with fewer than 500 employees: Company or Group?+
It depends on how the group is managed, not on the number of tax IDs. One management, up to 500 people in total: the Company plan, with each company set up as an area; leadership sees them all in the same list, each with its own status. When each company needs its own environment (separate administrator, approvers, bonus rule and close, and a manager in one not seeing the other), it is the Group plan.
Does a branch count as a company?+
No. Branches, sites and departments of the same company are covered by the Company plan, each with its own KPIs and owners. You set up the same KPI once per branch, each with its own owner; on the manager’s screen the branches appear in the same list, with each one’s status and the company’s weighted result. Companies of a group under one management also fit the Company plan, as areas. The Group plan is for when each company needs its own environment.
Why the 500-employee limit?+
Above that, implementation usually involves several departments, sites and systems, and the price is fairer when it is designed together with it.
When the trial ends, is the data kept?+
Yes. If you subscribe, you pick up where you left off, with everything you set up during the 30 days. If you do not subscribe, it is kept for 90 days in case you come back, and then deleted.
Where is the data, and who can access it?+
In the cloud in Brazil (Supabase, São Paulo region), isolated per company in the database, with an audit trail of every change. Under Brazil’s data protection law (LGPD), your company is the controller of the data it puts in Orbit and BI Smart is the processor: it uses the data only to provide the service. Access is by invitation from your company’s administrator, with email and password or with a Microsoft or Google account.
Is the price in Brazilian reais?+
Yes. BI Smart invoices from Brazil, in reais. Outside Brazil, payment is by card.
